Please read these terms carefully before scheduling service

These Terms of Service govern services provided by Custom Bedbug Inc., including bed bug heat treatment, thermal remediation, inspections, and related bed bug removal work. By scheduling service, you agree to the terms below.

Terms of Service Overview

The following definitions apply throughout this agreement:

  • "Company" refers to Custom Bedbug Inc.
  • "Customer" refers to the property owner, tenant, or authorized party scheduling service.
  • "Service Location" refers to the property address where treatment will be performed.
  • "Services" refers to bed bug heat treatment, thermal remediation, inspections, and related work.
  • "Agreement" refers to these Terms combined with any written estimate or invoice provided.

Written estimates, invoices, and these Terms together govern the job. Service availability and coverage depend on technician assessment, safe access to the property, and scheduling capacity.

Scope of Work for Bed Bug Heat Treatment

Our bed bug heat treatment services include thermal remediation procedures designed to eliminate bed bugs at all life stages. Standard service includes equipment setup, heat application, temperature monitoring throughout treatment, and post-treatment documentation.

Services do not include the following unless explicitly quoted in writing: structural repairs, cleaning or sanitation, replacing furniture or belongings, or moving heavy items beyond what is stated in your estimate.

Treatment Effectiveness

Results depend on proper preparation, technician access to all infested areas, clutter levels, and your efforts to prevent reinfestation. Review our thermal prep sheets before your scheduled service.

Scheduling, Access, and Service Windows

Services are scheduled based on availability. Arrival windows are typically provided as a range (for example, 8:00 AM–10:00 AM). An adult (18 or older) must be present at service start, or you must arrange pre-approved entry with your property manager.

You are responsible for ensuring the following access requirements are met:

  • Power access for treatment equipment
  • Adequate parking and equipment clearance near entry points
  • Safe, clear working conditions throughout the treatment area

If building rules, HOA restrictions, or landlord requirements affect access, you must coordinate approval before your scheduled service date. Delays caused by access issues may result in rescheduling fees.

Preparation Requirements and Customer Responsibilities

Proper preparation is essential for effective treatment. You must complete all preparation steps before your scheduled service. Please review and download the following documents:

Preparation requirements include:

  • Washing and containing linens, clothing, and fabrics as instructed
  • Decluttering treatment areas to allow technician access
  • Clearing pathways for equipment and safe movement
  • Removing heat-sensitive items (candles, aerosols, medications, cosmetics, electronics as specified)
  • Removing all occupants and pets from the property during treatment

⚠️ Incomplete Preparation

If preparation is not completed by the deadline, we may reschedule your service (with applicable fees), proceed with partial treatment (which may affect results), or cancel the appointment. Preparation compliance is required for warranty coverage.

Safety, Pets, and Occupant Guidelines

Heat treatment raises interior temperatures to levels lethal to bed bugs but also unsafe for people, pets, and certain items. All occupants and pets must vacate the property as instructed—typically for 6–8 hours or until cleared by our technician.

Special considerations apply to:

  • Elderly or medically fragile occupants (plan transportation and accommodations in advance)
  • Aquariums and fish tanks (must be removed or arrangements made)
  • Live plants (remove from treatment area)
  • Aerosol cans, ammunition, lighters, and pressurized containers (must be removed)
  • Medications, cosmetics, and heat-sensitive medical devices

You must disclose any hazards before treatment, including oxygen tanks, medical equipment, sprinkler system issues, known electrical or wiring problems, or structural concerns. Failure to disclose hazards may void your warranty and limit our liability.

Pricing, Deposits, and Payment Terms

Pricing is based on inspection findings, square footage, number of rooms, clutter level, and treatment complexity. Your written estimate details the quoted price for your specific situation.

A deposit may be required to secure your appointment. The remaining balance is due upon completion of service. We accept credit cards, debit cards, and cash. Checks require prior approval.

Late payments may be subject to a service charge. If you have questions about pricing, please request a quote or contact us before scheduling.

Cancellations and Rescheduling

We understand plans change. Our cancellation policy is as follows:

  • More than 48 hours before service: Cancel or reschedule without penalty; deposit refunded or transferred.
  • 24–48 hours before service: 50% cancellation fee applies.
  • Less than 24 hours before service: Full cancellation fee (deposit forfeited).
  • No-show or no access: Full cancellation fee applies.

If we must reschedule due to severe weather, equipment issues, or safety concerns, you will not be charged a penalty. Repeated date-change requests may require a new deposit or rescheduling to a later date based on availability.

Re-service Policy and Limitations

We stand behind our work. If you see signs of bed bug activity within 30 days of treatment, you may qualify for re-service at no additional charge, provided:

  • All preparation instructions were followed
  • All post-treatment instructions were followed
  • You provide physical proof of bed bug activity (live bugs, shed skins, fecal spots)
  • There is no evidence of reinfestation from external sources

Re-service Limitations

Re-service does not cover bed bugs reintroduced by visitors, travel, adjacent units in multi-family buildings, untreated belongings brought into the home, or non-compliance with preparation or post-treatment instructions. Ongoing prevention is your responsibility.

Warranty Disclaimer and Limitation of Liability

Our services are designed to reduce or eliminate bed bug infestations. However, we cannot guarantee against future reintroduction from external sources. Bed bugs can be reintroduced through travel, visitors, shared laundry facilities, neighboring units, or secondhand items.

Our maximum liability for any claim related to services shall not exceed the amount you paid for the specific service in question. We are not liable for indirect, incidental, or consequential damages.

You are responsible for your personal property. We are not liable for pre-existing damage, deteriorated materials, or items left in treatment areas contrary to preparation instructions.

These Terms are governed by the laws of the State of Washington. Any legal action arising from these Terms or our services shall be brought in courts located in King County, Washington. For disputes that cannot be resolved informally, both parties agree to mediation before pursuing litigation.

Privacy and Communications

By scheduling service, you consent to receive appointment reminders, updates, and follow-up communications via phone, email, or SMS. You may opt out of marketing messages at any time, but transactional messages related to your scheduled service will still be sent.
